Comprehensive Support
With 25 years of organization management experience and 10 years in Mental Health specifically, I can confidently handle any aspect of your practice. Here is an extensive overview of what I can do for you. Click any of these for more details.

Billing
Insurance billing, including commercial, EAP and Medicare/Medicaid.
I’m well-versed in all mental health insurance billing and will ensure you receive every dollar you’re owed from these companies.
Patient billing, including copays, deductibles and self-pay arrangements.
I’ll provide clear guidance to you and your patients about what is owed after each session. If you choose to accommodate patients during financial hardship or set flat monthly fees, I can communicate with empathy to help patients manage their balances.
Claims Investigations and Appeals
I’ve jumped through hoop after hoop to figure out exactly what the insurers need in order to pay a claim. I’m also willing to go the distance to fight a denial. From a simple claim correction all the way to building a legal case, I’m here.

Credentialing
Become an in-network provider for commercial insurance or Medicare/Medicaid.
Having credentialed many providers, I know exactly what each insurer requires. Once I have the necessary information from you, you can relax and simply sign contracts when they arrive.
Maintain credential status and directory information.
Insurers and other provider directories require periodic updates to remain listed. I’ll ensure these updates are completed promptly.
Become licensed in more states.
Whether through compact licensing or individual state processes, I can help you reach more clients or continue supporting clients who move during treatment.

Patient Management
Schedule appointments and maintain practice calendar.
I can coordinate intakes and appointments based on your availability, interacting with patients and potential patients as needed.
Onboard new patients.
I can make sure we get all the information we need from new patients and input the information for them if needed.
Patient account reviews to proactively deal with issues.
I perform monthly account reviews to proactively address issues, helping you avoid difficult conversations about unpaid bills or losses due to errors.

Technical Support
Website hosting, design and maintenance.
I can improve your existing website, work with contractors, or build one myself. I also self-host several open-source services to reduce costs.
E-Commerce integration.
If you sell products or services outside your patient management system, I can add a store to your website.
General tech support and consulting (computers, teleconferencing, infrastructure, etc).
I’ll help you figure out exactly what you need so you can avoid throwing away money on tech purchases. I can also deploy open-source solutions where possible to avoid yet another monthly charge.
If an unexpected issue like video call trouble is frustrating you and your patients, I’m a call or text away.
Cybersecurity and HIPAA compliance.
I’m well-versed in HIPAA requirements and can ensure your systems protect patient data and financial information. I offer cloud services and software with BAAs and access controls ready to use, including a HIPAA-compliant secure fax number.
Transition to and/or optimize digital workflows.
I can set up systems to track tasks and communications, ensuring nothing falls through the cracks.

Documents
Prepare letters and other documents requested by patients.
I can complete forms such as FMLA or hardship withdrawal letters using your written or dictated notes and direction.
Compile notes and create templates for records requests.
Whether you keep your notes digitally or on paper, I can help you gather them together or construct formal notes for insurance (or other) record requests.
Filing and digital document storage and organization.
I can digitize paper documents and organize both digital and physical files for easy access.

Bookkeeping
Business accounting (double-entry).
I’ll track how your money flows using accounting software. You’ll have cash flow reports on hand and someone watching your accounts for problems. We can use invoices and expense logs and compare these to your banking account history to check for accuracy.
Expense tracking.
I can take your pile of receipts and make them into a useful record of your spending. I can also digitize them so you can discard the paper copies.
Tax preparation.
As a private practice, the largest part of tax preparation is categorizing all of your transactions for your Schedule C. I can categorize these for you into the appropriate types, differentiate types of income and, if an LLC, distinguish owner pay from payroll. I can provide reports for your tax accountant, do your Schedule C, or prepare a complete draft of your tax returns for you.
Banking (EFT, Deposits and transfers).
I can deposit patient and insurance checks and set up EFT payments through Stripe or insurance systems.

Training and Research
Learn how Insurance works.
I’ll help you develop expertise in insurance matters, taking the care and time needed to explain each step as we work together.
Formal training for your practice and staff.
I can conduct workshops on insurance basics, HIPAA, or patient management software like SimplePractice.
Consultation and decision support.
I serve as a sounding board for practice-related decisions, offering insights from experience with other practices.
I can also act an information source to pull up information you need through texts, emails or phone calls.
Research and reports.
From figuring out how a new regulation applies to your practice to gathering information before a purchase, you can leave to me the process of looking through the options, compiling the commentary, or summarizing others’ experiences.
